Provides administrative support to the Back Office Manager and all staff in the office as required;
• Receives and screens incoming telephone calls, dealing or redirecting as appropriate, ensuring the calls are dealt with in a timely and appropriate manner by the correct person;
• Places telephone calls according to company’s standards;
• Takes messages by recording, retrieving and relying accurate information;
• Handles incoming mail, including electronic mail;
• Maintains files according to records management specifications, ensuring confidential treatment of documents, following established security procedures;
• Greets visitors to the meeting room, answers questions, directs them to the appropriate individuals and assures the proper protocol activities;
• Manages the business relationship with services and materials suppliers;
• Document registration & management (mail, including the electronic one, contracts etc.)
• Creates and revises documents;
• Handles travel arrangements for employees;
• Miscellaneous administrative activities.
Cerinte:
Experience working in a similar position/ receptionist would be an advantage;
• Fluency in English, spoken and written
• Strong MS Office skills – Word, Excel, PowerPoint;
• Excellent communication and interpersonal skills;
• Professional appearance and attitude;
• Strong time management and organization skills;
• Customer oriented and proactive attitude;
• Ability to work with tight deadlines as determined by business requirements;
